Terms & Conditions

    These terms and conditions together with the booking form and the information on our website form your contract with Heraldic Tours & Travel. Please read them carefully as they set our respective rights and obligations. By confirming your booking, we are entitled to assume you have had the opportunity to read or have read the booking conditions and agree to them.
    MAKING YOUR BOOKING

    A provisional reservation may be made filling in the online booking form, by telephone or email. Your reservation will be held for up to seven days pending receipt of your deposit. Deposits can be paid by banker’s draft, electronic transfer (BACS) or cheques made payable to ‘Heraldic Tours & Travel'.
    When making a booking you must complete the Booking Form accepting on your own behalf and on behalf of all your party (for whom you have authority to accept) the terms of these Booking Conditions and pay the deposit. A contract will exist when we issue our confirmation invoice. Your contract will consist of these Booking Conditions, the completed Booking Form and the contents of the relevant website.
    We will do our best to comply with any special requests indicated on your booking form but cannot guarantee that we will be able to do so. The person completing the booking form does so on behalf of the entire party and is primarily responsible for all payments.
    The balance of your holiday price must be paid at least 8 weeks before your holiday commences and may be paid by cheque, banker’s draft or electronic transfer. If the balance is not paid in this time we reserve the right to cancel your booking and retain your deposit plus the costs of performance tickets.
    If you book less than 8 weeks before your holiday commences we will do our best to accept your booking subject to available space with our supplier hotels and transport. If we can accept your booking we will ask for full payment to confirm your booking.

    We reserve the right to alter the prices of any of the holidays shown in the promotional literature. The current price of the holiday will be notified to you before your contract is confirmed. If you have any special requests relating to dietary requirements, accommodation, or medical issues, these must be made known at the time of booking. We will do our best to meet them but cannot guarantee to do so.

    All elements of Heraldic Tours & Travel tours are set out in the promotional literature and on the website and include the following:


        Hotel accommodation at the hotels shown on the relevant web page (or similar grade) in double or twin bedded rooms with private bathroom or shower and W.C.

        A limited number of double or twin rooms are available for sole occupancy.

        Hotel porterage, where available.

        Any performance tickets as indicated in the tour itinerary.

        All sightseeing or guided tour programme as detailed in each tour itinerary, including admission charges.

    ALTERATIONS AND CANCELLATIONS BY YOU

    If, once the confirmation has been issued, you wish to cancel or change to another tour you must notify us by telephone and in writing at our offices. Cancellation and amendments must be made by the person who signed the booking form. We reserve the right to charge a non-refundable amendment fee of £40.00 per person in addition to any additional costs of revised arrangements. The following cancellation charges will apply and will be effective from the date on which we receive your notification in writing. The charges vary according to the notice period given. For cancellation more than 56 days before departure a full refund is given minus the deposit and the cost of performance tickets. Between 56 and 42 days, 40% of the tour price will be charged. Between 41 and 31 days, 60% of the tour price will be charged and between 30 days and the day of departure 100% of the tour price will be charged. If you cancel a booking for a double or twin room and you are travelling with a partner or companion who wishes to continue their booking then the partner or companion will be liable to pay the single supplement. If you wish to transfer another person to the booking you must to take your place a fee of £40.00 will be charged as an administration fee.
    No refund will be available after commencement of the tour except at our discretion. Holiday cancellation insurance is available from your travel agent, or insurance broker. We strongly recommend that you take out adequate holiday cancellation insurance.
    ALTERATIONS AND CANCELLATION BY US

    It is possible that we may have to make changes to your trip as the arrangements are planned months in advance. Circumstances may arise where changes may have to be made, and we reserve the right to do so at any time. Most of these changes are minor and we will advise you at the earliest possible date.
    We reserve the right in any circumstances to cancel your tour. If the minimum number of people required for a particular travel arrangement is not reached, or circumstances change beyond our control, we reserve the right to cancel the tour up to 56 days in advance. In this case, we offer the choice of an alternative tour of comparable standard, if available, or a full refund. In the case of an alternative trip being taken we will refund the price difference if the alternative is of a lower value. In other circumstances we will not cancel your holiday less than 56 days before the scheduled departure date except for reasons of Force Majeure or your failure to pay the final balance. If it becomes necessary to cancel your travel arrangements except for reasons of Force Majeure then we will pay you compensation. Compensation is paid at £10.00 between 56 and 42 days before departure, £20.00 between 41and 25 days, £30.00 between 24 and 16 days, £40.00 between 15 days and 1day before departure.
    Please note compensation is not payable in the case of minor changes. The compensation offered does not exclude you from claiming more if you are entitled to do so.
    ‘Force Majeure’ means any unusual or unforeseeable circumstances beyond our control, including but not limited to, war, riot, industrial dispute, terrorist activity and its consequences, natural or nuclear disaster, fire, adverse weather conditions, epidemics and pandemics, unavoidable technical problems with transport.
    NON-APPEARANCE AND ALTERATIONS TO REPERTOIRE/ITINERARY

    Music lovers will appreciate that performances and artists can be changed without notice. Fortunately, this is a rare occurrence but nevertheless disappointing. Every effort is made to obtain and pass on to you up to date information regarding performances and artists. This information is based upon details supplied to us by theatres and event organisers and we cannot guarantee its accuracy or that there will not be further changes to the programme. The non-appearance of an artist or speaker, cancellation of event or other changes, are entirely outside our control or even the control of those organising the event. We will always do our utmost to find a suitable alternative in such a case and wherever refunds from an event organiser are received we will pass this on to you.
    Please note that the order of events on itineraries is subject to alteration due to local circumstances, unscheduled closures etc. However, every effort will be made to include all elements of the programme during the tour dates or a suitable alternative which will be notified to you.
    WEBSITE ACCURACY

    We endeavour to ensure that our web site is correct and accurate. However, the accommodation, services and facilities described in the web site are generally outside our control and, therefore, we reserve the right to change any of the accommodation, services, facilities or prices described in this web site at any time before accepting your booking.
    OUR LIABILITIES TO YOU

    We accept responsibility for ensuring that all parts of the tour are supplied as described and that all services reach a reasonable standard. However, we shall not be liable for the failure or improper performance of these services where such failure or improper performance is attributable to you, or the unforeseeable or unavoidable actions of an unconnected third party or to unusual and unforeseeable circumstances beyond our or our supplier’s control.
    PRIVACY POLICY

    Except where expressly permitted by the Data Protection Act, we will only deal with the personal details you give us in respect of your holiday arrangements, unless you agree otherwise. If you make any special requests, which include, but are not limited to special dietary, religious or disability-related requirements which constitute sensitive information, the relevant data will be passed to our suppliers and carriers to enable provision of the services requested by you.
    FINANCIAL PROTECTION

    Heraldic Tours & Heraldic Tours & Travel is committed to your final protection. In order to satisfy the requirements of “The Package Travel, Package Tour Regulations 1992” all monies paid to us in respect of your tour are held in trust. In the unlikely event of our insolvency your money will be refunded from the trust.
    ENGLISH LAW

    These conditions form part of your contract with Heraldic Tours & Travel and are governed by English law
